MOVE-IN TIME
Sunday, April 1, 2012: 1:00 pm – 6:00 pm
Monday, April 2, 2012: 7:00 am – 12:00 noon
We encourage Sunday move-in wherever possible in order to avoid traffic and long line-ups on Monday morning. Aisles must be cleared of all material and packing boxes by 12:00 noon on Monday, April 2.
EXHIBITOR REGISTRATION DESK HOURS
You must register at the Exhibitors’ Reception Desk (lower level) before setting up your booth.

BOOTH DETAILS
Your booth space consists of a 10′ x 10′ area. Each booth will be set up with 8′ high back drape, and 3’ high side drape. The main floor and aisles will have carpeting; however the exhibit space is not carpeted, and will be up to the individual exhibitor. For rental of booth carpet, tables, chairs, etc. and booth accessories, please refer to Freeman Decorating.
With Each Booth Rental you are entitled to:
- Grand Opening Cocktail Reception, Monday, April 2
- Two (2) Tickets for the Dinner/Entertainment Evening Monday, April 2
- Two (2) Tickets for the Continental Breakfast, Tuesday, April 3
- Two (2) Tickets for the Buffet Lunch, Tuesday, April 3
- Four (4) Name Badges for exhibiting staff
- Complimentary registration for educational sessions
- Pre and post convention list of all delegates in attendance in electronic format available upon request
Items not included in the Booth Space Rate:
- Electrical (may be ordered through Showtech)
- Individual Booth carpet (may be ordered through Freeman Decorating)
NAME BADGES & MEAL TICKETS
Each booth rental is entitled to 4 name badges and 2 meal tickets for Monday Dinner, Tuesday Breakfast & Tuesday Lunch.
Each company may purchase an additional maximum of 6 name badges at a cost of $15 each. Additional meal tickets may also be purchased. Tickets will not be mailed out, but will be available for pick-up at the registration desk onsite.
MONDAY EVENING DINNER & ENTERTAINMENT
Each booth rental is entitled to 2 tickets for the Monday evening Dinner & Entertainment event. This event is the most-attended and every popular, so you’ll be certain to see everyone there. Additional tickets may be purchased.
LEAD RETRIEVAL SYSTEMS
Lead Retrieval systems are available via Conexsys Registration Systems. Order in advance and save the additional on-site ordering expense. A small, light weight & easy to carry scanner, allows for easy and economical method of collecting leads.
PRESIDENT’S DINNER
Sunday Evening Event is an ideal opportunity to meet industry leaders, colleagues and allied health professions and government officials for an evening of great food and networking. Both associations’ Presidents welcome you to the start of Convention 2012. This event is not included in your exhibit package, so tickets will have to be purchased separately.
RULES & REGULATIONS
Ensure you are familiar with all the Rules & Regulations available in this package. Marshals will routinely be checking exhibits prior to show opening and through the show. Exhibitors with Double Booth End Units that back onto Two Aisles – take note of the 2nd page of the Rules & Regulations. Only 10’ of your wall will be 8’ high (see diagram). Your display cannot block exhibitors backing onto your booths.
DRAWS & LOTTERIES
Draws & Lotteries are permitted, with a maximum total cumulative value of $500 per exhibiting company. Forms will be provided onsite which should be completed and taken to the ORCA Booth on the Tuesday before noon, in order that winners may be announced over the PA system during lunch.
DRESS CODE
Business attire appropriate during trade show hours; Casual during the Monday evening Dinner & Entertainment Event.
TRADE SHOW FLOOR FEATURE AREAS
Features on the trade floor will encourage delegate traffic throughout 4 Corners of the Floor from indulging in chocolate covered treats, to a soothing massage, sure to attract delegates to all corners. Raffle Drums throughout the floor delegates bags will include 4 colour-coded ballots that must be placed in corresponding coloured drums in order to win prizes.
GREEN 5 AWARD
This is a Self Assessment – Convention continues to embrace a paperless policy wherever possible. We will provide you with a self-assessment tool which recognizes exhibitors who are committed to minimizing their environmental footprint at the show. If your company complies with 5 key areas you will be awarded with a small token to display at your booth.

FAILURE TO OCCUPY EXHIBIT SPACE
If space is not occupied by 2:00 pm on Monday April 2, ス hr prior to opening, this will be considered a no-show and the space will be forfeited by the exhibitor. This space may be resold, reassigned or used by the OLTCA/ORCA without obligation.
SECURITY / INSURANCE
While every effort will be made to provide security for exhibitors while in at Metro Toronto Convention Centre neither OLTCA/ORCA or the MTCC will assume responsibility for loss or damage to exhibits or other exhibition property. OLTCA /ORCA recommends exhibitors contact their insurer and request that their coverage be extended to insure their property and liability during the transportation to and from the convention and while onsite.
We continue to partner with the MTCC to do our best to make this a paperless, recyclable, no-waste convention, and we are challenging you to do your part. Please keep this in mind if you handing out token items at your exhibit. Environmentally friendly delegate bags will be provided at the Registration Desk. Let’s all do our part.
